Skavio Meeting: review, then export to TXT, DOCX or PDF
Skavio Meeting turns a recording into a speaker-aware transcript and a structured meeting report, with TXT, DOCX and PDF outputs available. A useful handoff starts before the download: check what was actually agreed, then choose a format that suits the recipient. Plain text supports reuse, DOCX supports further editing, and PDF provides a reading or printing copy.
1. Check the meeting record—not just the summary
Once processing is complete, review the generated result against the recording where important facts or commitments are involved. Skavio Meeting results include a speaker transcript, summary, key points, decisions, action items, open questions and a follow-up draft. Treat these as material to check, not as automatic confirmation of what participants agreed. Pay particular attention to the difference between a suggestion and a commitment. “We could deliver on Friday” is not the same as an agreed Friday deadline. Here, “reviewed” means a human check of the content—not a built-in approval status. A completed processing job alone does not establish that the record is ready to distribute.
- Check speaker attribution before attaching a statement or task to a person.
- Verify names, dates, figures and specialist terminology against the recording.
- Confirm that decisions were agreed, rather than merely discussed.
- Check task owners and deadlines; leave unconfirmed details unresolved rather than filling them in.
- Keep open questions separate from decisions, and review the follow-up draft before using it.
2. Choose the format for the recipient’s next step
Choose the output according to what happens after the handoff. The most useful format for a colleague revising the minutes may not be the most useful one for someone who only needs to read them.
- TXT: choose plain text when you need to copy passages into another system or reuse the wording without document styling. TXT does not preserve rich formatting.
- DOCX: choose a working document when colleagues need to revise wording or presentation in Word or a compatible editor. It is also a practical choice when your review has identified corrections.
- PDF: choose a reviewed reading or printing copy for distribution. PDF generally preserves a consistent appearance across computers, but sharing a PDF does not prevent recipients from editing it.
3. Download the output and resolve any corrections
Download the available output in your chosen format. Then open the file itself: do not assume that every format contains every section of the generated meeting result. Confirm that the transcript, decisions, action items or other material needed for this handoff is actually present. If your review found wording that needs correction, edit a DOCX working copy in a compatible document editor. Check the changes against the recording. If the final deliverable should be a PDF, create it from that corrected document using the editor’s PDF export or save function. These corrections happen in the external document editor; do not assume they are saved back into Skavio Meeting or carried into later Skavio exports.
- Keep an editable working copy when further review is expected.
- Do not distribute an unchanged PDF if the corrections exist only in a separate document.
- Give the reviewed file a clear name that distinguishes it from an earlier draft.
4. Inspect the final file before sharing
The last check belongs to the file the recipient will receive. For TXT, inspect line breaks and check that any speaker labels are understandable. For DOCX, check headings, lists and any edits made in the document editor. For PDF, inspect page breaks and confirm that no text is cut off. Finally, recheck the decisions and action items in that exact file. Choosing a document format does not verify its contents. A polished document should not make an unresolved question look settled or an unaccepted task look assigned.
- Confirm that the file opens and contains the material required for the handoff.
- Check that names, owners, dates and figures match the reviewed version.
- Share the reviewed copy only with the intended audience, following your organisation’s rules for meeting records.
