A workflow begins with the way invoices actually arrive: for example, as email attachments or documents passed into a defined intake process. OCR and data extraction can identify fields such as supplier, amount, due date and reference, then organize them for the next step. The exact trigger and any connection to existing systems depend on the tools and access available, so those constraints need review before implementation.
Validate before routing
Extracted data should not be treated as automatically correct. A workflow can check required fields, apply agreed validation rules and flag missing or suspicious information for human review. Once the record is ready, it can be routed for approval, stored or handed off according to the agreed process. That creates a clearer path from document intake to action without implying that an invoice has been approved or paid automatically.
Keep exceptions visible
The useful test is not only whether a routine invoice moves forward, but what happens when it does not. Missing details, uncertain extraction or an approval still pending should have an explicit next step: such as a review request, a reminder or a route to the appropriate person.
